Preparing the warehouse for year-end inventory observation

Physical inventory observation remains one of the most visible moments in a financial audit. When stock is material, auditors need to see how tags are issued, how teams count, and whether shipping and receiving freeze as instructed.

Two weeks before the count

Circulate written count instructions in Japanese (and English if overseas observers attend). Name who controls tag issuance, who resolves discrepancies, and how damaged goods are segregated. Share location maps with aisle codes that match the perpetual records.

The day before

Run a soft count on high-value SKUs and clear obvious location errors. Confirm that goods-in-transit lists are printed for cut-off testing. If night shifts will count, schedule a short briefing before the shift starts — auditors arriving cold to an unbriefed floor waste everyone’s time.

During observation

Expect test counts. Do not “help” by moving units into neat piles after the auditor has selected a SKU; that changes the evidence. If a discrepancy appears, document it immediately with the warehouse lead’s signature rather than debating on the floor.

A calm observation day rarely happens by accident. It comes from instructions that warehouse crews can follow under fluorescent light at 2 a.m.
